THE BASICS

Who We Are
Efile1099NOW.com is a cost-effective, cloud-based solution to your e-filing woes. Quickly and easily file your 1099 and other forms online without the need to print and mail paper forms. Get started by signing up, entering your data, and we'll process, print, mail and file your forms to the appropriate agencies and recipients.

What We Do
Just by signing up and uploading your data, we'll store your forms and recordkeeping on our secure servers. You'll be able to review and print previous year forms as well as maintain your payer and recipient records to easily populate future forms with their information.

We offer three options at checkout at different price points. When you checkout, you can select the option that best fits your needs:

  • E-file, Print & Mail – includes e-filing to the IRS and/or SSA, printing and mailing forms to recipients. This is the most comprehensive choice and the most popular with our customers.
  • E-File Only - includes e-filing to the IRS and/or SSA only. You will need to distribute the information to recipients.
  • Print & Mail Only – includes printing and mailing forms to recipients only. You will need to submit the information to the IRS and/or SSA separately.

As an authorized IRS transmitter of 1099 and ACA informational data, we have a Transmitter Control Code (TCC) to access the IRS’ File Information Returns Electronically (FIRE) and ACA Information Return (AIR) Systems. In addition, we are registered, authorized and approved with SSA’s Business Services Online (BSO) to electronically submit wages and income in EFW2 or EFW2C file format. When using our services on efile1099NOW to submit your 1099, W-2 and/or ACA data, you do not need to have a TCC or BSO credentials.

We also employ third-party auditing to certify that we remain compliant with the stringent Service Organization Control (SOC) data management standards of the American Institute of CPAs. Additionally, we perform annual third-party penetration tests, quarterly and annual Payment Card (PCI) audits as well as weekly vulnerability scans to proactively detect and mitigate any new threats/vulnerabilities that may be discovered. The moment you sign up or log in to our website, your data remains secure.

For an additional level of protection on your account, enable Multi-Factor Authentication (MFA). MFA is an electronic verification method where a user is granted access to an application via something they know (password) and something they have (unique login code). Click for details on MFA and how to set it up for efile1099now.

For more information, please refer to our Privacy Policy and rest assured that your data is in good hands.

Important Dates and Deadlines
You can submit your forms as soon as we release the current year's forms, typically in November or early December. To get a head start on the process, you can create an account and set up payers and recipients any time. Once the new forms are released, you do not have to wait until January to submit your forms, as long as the contractor or employee has completed all work for the calendar year and you have all the required information at hand. However, the IRS/SSA doesn’t start accepting forms until mid to late January. Until the IRS/SSA start accepting forms, your Filed Forms page will show Pending in the columns labeled Filed On, File Accepted, and Delivery Status.

What is TIN Matching?
It is important that the information provided on information tax returns is correct. TIN Matching is the process of checking the TIN (Taxpayer Identification Number) furnished by the payee/recipient against the name/TIN (Taxpayer Identification Number) combination contained in the IRS database.

How does the process work?
  • Enter your payer and recipient data
  • On the Payer or Recipient profile page, select the option to “Validate Now”
  • Confirm you want to add the TIN Matching request to your Cart
  • Go to your Cart, enter your credit card information if not yet added, and check out, paying $1.00/per record
  • The data you provided is checked against the IRS database
  • Within approximatley two to five business days, you can review the payer or recipient profile in your account to see the result, which will display whether the TIN is valid or invalid with the date of verification
  • Contact your payers/recipients to reconcile any differences
  • Edit the data to correct any mismatches
  • Complete your forms and check out

Please note that if you are trying to beat the IRS/SSA deadline and it is close to the deadline, we recommend that you select the payers and recipients you want to have TIN matched AND check out your forms simultaneously. You will be notified of any mismatches after the IRS/SSA deadline. You will then need to enter a correction and submit the corrected form. While this will incur a correction fee, you will avoid a possible penalty from missing the IRS/SSA deadline.

Our optional subscription plans include some level of TIN matching. The Plus Subscription plan includes 250 free TIN matches and the Premium Subscription plan includes unlimited TIN matches. The results should be displayed within the payer or recipient profile within two to five business days. Please allow two to five business days for TIN Matching to complete before checking out your forms.

Filing Multiple Clients
You can set up an unlimited number of payers and recipients under a single account. When filing a form, simply select the payer and recipient from the drop-down boxes on the form. All contact information will be filled in automatically.

1096 or W-3 Forms
As part of our e-file process, we compile the summary data required on Form 1096 or W-3 and transmit it along with your forms. You don’t have to prepare anything for these two forms.

ACA 1094-B/C Forms
If filing ACA Form 1095-B, you do not need to file Form 1094-B. As part of our e-file process, we compile the summary data required on Form 1094-B and transmit it along with your 1095-B forms.

If filing ACA Form 1095-C, you MUST file form 1094-C. Efile1099now.com does not automatically compile the summary data required on this form.

AFTER FORM SUBMISSION

When Does the IRS/SSA Receive the Forms?
(This is applicable to those forms where "E-File, Print & Mail" or "E-File Only" were selected.)
We start e-filing forms with the IRS/SSA as soon as the IRS opens the FIRE (File Information Returns Electronically) site, which occurs in mid to late January. This is the earliest the IRS will accept electronic files. We will file each business day (multiple times per day during busy days) through April 1, 2024. After April 1, 2024, we will process orders within one business day through April 30, 2024. Starting May 1, 2024 we will process orders twice weekly, every Tuesday and Thursday morning through 10/31/2024. All submissions on 10/31/2024 will be processed the morning of 11/1/2024. If you order later in the day on Tuesday or Thursday, your forms will be e-filed the following Tuesday or Thursday. Prior year forms will follow the same schedule listed above.

When Will the Recipients Receive Their Forms?
(This is applicable to those forms where "E-file, Print & Mail" or "Print & Mail Only" were selected.)
Recipient copies are released to USPS for presort and First-Class mail distribution processing within 1 to 2 business days of receiving your order (after the IRS has started accepting electronic files in mid-January). The USPS typically delivers First-Class mail within 7-10 days. Although most recipient copies should be delivered within 7-10 days of the order date, we cannot guarantee postal delivery times as this is fully dependent upon the USPS. In the meantime, you can print your completed forms any time by logging in and clicking on the "Filed Forms" tab.

Do I Need to Provide Forms to the Recipients?
Our all-inclusive service of E-File, Print & Mail or Print & Mail Only service includes printing and delivery via first-class mail. We also offer e-delivery, which lets recipients access their forms online instead of waiting for mailed copies. Simply provide the recipient's email address and we will notify the recipient of this option. However, if you select E-File Only, you will need to send copies to the recipients.

Getting Copies of the Forms
Once your forms are submitted with payment, you can print or save your copies in PDF format; however, these printed forms are not approved for IRS submission but are fine for your recipients and for your records. Simply log in to efile1099NOW, on the navigation bar on the left, hover over Filings and then click on Filed which will direct you to your Filed Forms page. Select the form you want to print.

CORRECTIONS

Correction Types We Support
If you discover the error after we have e-filed the form with the IRS, you can file a 1099 Correction if the form was a 1099-NEC, 1099-MISC, 1099-DIV, 1099-INT, 1099-K, 1099-R, 1099-S, or 1098, and the error was a "Type 1" (dollar amount) error. If we have e-filed the form with the SSA, you can also correct W-2 dollar amount errors with the W-2C form on our site. You do not need to have e-filed on our site in order to use our site to make corrections to these forms; however, you must have filed the originals with the IRS FIRE system.

For ACA forms you can file a correction for names and TINs only. To correct ACA errors, your original file must have been originally filed on the site.

Corrections After Mailing
You cannot change any information entered into a form once you have checked out and paid for our service until after the IRS has accepted the form. Once the IRS/SSA has accepted the form, you can make Type 1 (dollar amount) corrections for 1099 and W-2 forms.

If you submit a correction, remember to select E-File, Print & Mail if you want a corrected copy mailed to the recipient.

STATE FILING

Combined Federal/State Filing Program
The Combined Federal/State Filing Program (CF/SF) is an alternative method to submit information returns 1099-NEC, 1099-MISC, 1099-B, 1099-DIV, 1099-INT and 1099-R to state revenue departments. The IRS acts as a forwarding agent only. It is the issuer’s responsibility to contact the appropriate state(s) for further information. In most cases the CF/SF program may not completely meet the requirements of the state. Please verify the requirements directly with the Department of Revenue for the state(s) in question.

NOTE: Participation does not mean that the state may not still require you to file the forms with their agency. Many states require forms that report state withholding to be filed direct to the state.

Direct-to-State Filing Supported States
Our Direct-to-State filing process allows customers to file their 1099-NEC, 1099-MISC, 1099-INT, 1099-R and W-2 forms directly to individual states. The following states are only supported by Direct to State filings on our platform for the forms indicated, regardless if the state participates in the CF/SF program. If you do not check the file direct to state box on the form template, your forms WILL NOT be filed to the state.

*We do not file forms via the CF/SF program when we offer direct to the state filing. Michigan is an exception. The 1099-MISC is eligible to be filed with Michigan via the CF/SF program.

Direct-to-State Pricing Info
We submit form types 1099-B, 1099-DIV, 1099-INT, 1099-MISC, 1099-NEC and 1099-R to the IRS' Combined Federal/State Filing Program, which makes the form data available to the states that participate in the program. Even though the state participates in the CF/SF program, the state may still require certain forms to be filed directly to the state.

We file directly to several states and we are adding more states each year. Here’s how it works: We offer this service as an add-on charge of $1.00 per state. Example: if you file a form that has 3 states populated, your Direct-to-State add-on charge for that form is $3.00.

City and Local Filing
We do not e-file or mail city, local or school district copies for you. Please verify any additional filing requirements with those agencies directly. Please verify any additional filing requirements with those agencies directly.

Not all states participate in the CF/SF program, including states with no wage reporting requirement such as Nevada, Florida, Washington and Wyoming. Some states that participate in the CF/SF still require forms to be sent directly to the state. If you have questions regarding state filings, we suggest that you contact the state agency for clarification. Click here for a list of state contacts.

Direct-to-State Corrections
We do not support corrections for state data, only Federal corrections.

Direct-to-State Reconciliation Forms
Reconciliation forms are not available on our site.

Some states require reconciliation or other additional forms to be filed at the time of the wage or information return upload. Some states that participate in the CF/SF still require forms to be sent directly to the state. To remain in compliance with your state's regulations, those types of forms need to be filed separately. Please verify any additional filing requirements with those agencies directly.
